When You work with The Nutrient Gap, We will always agree a clear brief and written quotation before We start. Email is Our main record of instructions and approvals, and We will only treat changes or sign-offs as final once they are confirmed in writing.
Most Projects are paid upfront. For work under £2,000 We invoice the full amount before We begin; for larger or longer projects We typically split the invoice into an initial £2,000 and a balancing Invoice once work is completed or after 45 days, whichever comes first. Payment terms for standard Invoices are usually 14 calendar days from the Invoice date.
If You work with Us on a retainer, You buy a block of hours in advance, which We draw down as We go. We will let you know when You have used around 75% of your retainer so You can decide whether to top up. Retainer hours must be used within six (6) months of the Invoice date unless We agree otherwise in writing.
If You cancel or reduce a Project after We have set time aside or started work, We may apply partial refunds or credits against future work to reflect time already booked or used, plus any out-of-pocket costs. For urgent requests that need evening or weekend work, fast-track surcharges of 50% (48-hour turnaround) or 100% (24-hour turnaround) may apply.
Confidentiality is paramount. All information provided by You as the Client, and by Us as the Supplier, will be used solely for the purpose of delivering the agreed Project, unless We are required by law to disclose it. We keep Your information confidential and handle data in line with UK GDPR and any other applicable data protection law.
Final deliverables belong to You once Invoices are paid in full, but Our background tools, templates and methods remain Our intellectual property. Our work is provided for Your use only and must not be resold, shared, or white-labelled without prior written consent.
Our advice is always based on current UK and EU food law and professional judgement. You remain responsible for final decisions on product composition and labelling, especially where You choose not to follow Our recommendations. We cannot “sign off” labels that We consider non-compliant.
Privacy
Your privacy is important to us. We will only use the information that we collect about you lawfully. We collect information about you for two reasons: firstly, to process your order and secondly, to provide you with the best possible service. We will give you the chance to refuse any marketing communication from us. We will never collect sensitive information about you without your explicit consent. As far as possible we will try to hold information about you which is accurate and up to date. In order to ensure this we will, from time to time, need to contact you to update our records. You can check the information that we hold about you by emailing us. Please inform us if you notice any incorrect data held about you and we will amend and correct it promptly.

Security
Your credit card transactions are secure. All on-line orders are encrypted and sent through a secure server on Paypal. Confidential information such as your credit card number will be used only to fulfil your order. To protect your privacy, we will ask you to enter your credit card number, expiration date & card verification code (3 digit number on the back of your card) each time you place an order with us. This way, even if someone else accesses the account information stored on your computer, they will not be able to use your credit card.
